What is automated appointment scheduling?

Automated appointment scheduling takes the booking conversation off your front desk. A client writes “can I come in Thursday?” on your site, WhatsApp or SMS; a language model reads the request, checks real availability in Google Calendar, Outlook, Acuity or your practice software, offers two or three slots and confirms the first one the client picks. The event lands in the calendar and the CRM or EHR once, with no retyping, and reminders go out on their own.

We build automated booking as a workflow around the tools you already use rather than a new platform to migrate to. Can automated booking connect to our current calendar or practice software without replacing it?

Yes. The flow reads and writes through the APIs of Google Calendar, Outlook, Acuity, Square Appointments and most practice systems such as Mindbody or Dentrix. Your staff keep working in the tool they know; the automation sits around it.

How much do automated reminders really cut no-shows?

In the Cochrane review of eight randomised trials, attendance rose from 67.8% without reminders to 78.6% with SMS reminders. Results vary by industry and client base, which is why the daily report shows your own no-show rate from the first week.

How do you avoid double bookings when several calendars are synced?

One calendar is the source of truth and every booking is written there first, with a short hold on the slot while the client confirms. Other systems are updated from it, never the other way round, and a conflict stops the run and alerts the front desk.

Can the automated scheduler take bookings over WhatsApp, Instagram and by phone?

WhatsApp, Instagram DMs and SMS work today: a language model reads the message, checks free slots and confirms. For phone, a missed call triggers a text with the booking link within a minute; full voice booking is possible but we recommend starting with messaging.

Will older clients use online appointment booking?

They do not have to. The phone line and the front desk stay; the automation handles the clients who prefer to book themselves — 34% of online bookings arrive after hours — and takes the reminder calls off your staff for everyone.

Does automated scheduling meet HIPAA requirements for a medical practice?

It can. The flow runs on your own server or cloud account, reminders carry no clinical details, data stays in your practice system, and every step is logged. We sign a BAA where it is required and review the setup with your compliance lead.

Will deposits and strict cancellation rules scare clients away?

You decide which services require a deposit and how late a free cancellation can be. Most practices start with deposits only for long or frequently missed services, and the flow explains the policy politely at booking time so nobody is surprised.
